This position will based over 3 days Tuesday, Wednesday and Thursday and the working hours are flexible from 9.00am till 16.00pm.
Based in the site office The duties will include Rewriting of Management documents and Managers rules, condensing down where necessary, proof reading and editing.
Requirements including certificates and qualifications:
Experience/ Key Skills:
Prior experience of document management or site administration for a main contractor on site in the past is essential
Supporting the preparation of handover documents for the operational teams when contract is due to go live
Maintaining a detailed and accessible archive system, retrieving documents as may be requested by the tendering teams
Good I.T. skills / worked on document control systems
Good telephone manner
Ability to Work with the site teams for meeting drawing registers' and site administration and receptions of the main site offices
Ensuring the relevant teams are made aware of current approved documents
Track project document control status to ensure sites meet the relevant timescales
Establish a standard, structured folder system with visual aids to prompt end users
Register, track and distribute for approval all documentation submissions by the Contract teams
Liaise with the Contract and Core Team to assist with ensuring that all procedural documents are correct
Manage access to documents for the Contract Team and Supply Chain
Updating the relevant registers and trackers
Receiving, filing and distributing incoming site mail if required
Ensure all paperwork is recorded when disposed of/archived
Maintain professional working relationships with the Contract Team, Core Team, Supply Chain
Required personal skills:
Good communication, team working, excellent organisation and self-reliance; able to carry out a range of administrative duties with minimum supervision, Excellent Grammar and English required.
